Note on sensitive information: Unlike most businesses, a tax and accounting practice necessarily collects highly sensitive personal and financial information, including Social Security numbers and complete financial records. We collect this information only as needed to perform the services you have engaged us for and to meet our professional and legal obligations. We treat it in accordance with the confidentiality provisions described below.

Categories of Information We Collect Automatically

Our servers and service providers may automatically collect certain information when you visit, use, or browse the Website, including:

  • Device information such as IP address, operating system, browser type/version, device identifiers, language preferences, and referring URLs.
  • Usage and analytics data such as pages viewed, time spent on pages, clicks, navigation paths, and interactions with Website features.
  • Approximate location information (e.g., city/state) inferred from your IP address.
  • Advertising and attribution information such as which ad, campaign, or referral source brought you to our Website.
  • Portal access logs such as login times, documents uploaded or downloaded, and IP addresses used to access your account, which we retain for security and audit purposes.

Information from Third Parties

We may receive information about you from third parties such as: payment processors; marketing and advertising partners; analytics providers; social media platforms (when you interact with our profiles or ads); tax and accounting software vendors; e-file transmitters; and referral partners.

Cookies, Tracking Technologies, and Analytics

We may use a limited set of analytics and advertising technologies to understand how visitors use our Website and to measure and improve our marketing. These may include:

  • Website analytics services that help us understand aggregate traffic and page performance.
  • Advertising and conversion-measurement tools that may use cookies to measure the effectiveness of our advertising and to help show relevant ads.

We do not use tracking or advertising technologies inside our secure client portal, and we do not use tax return information for advertising or retargeting under any circumstances.

Most web browsers allow you to control or disable cookies through their settings; disabling cookies may affect certain features of the Website. Where required by applicable law, we will obtain your consent before placing non-essential cookies or similar tracking technologies. If our use of these technologies changes materially, we will update this Privacy Policy and the “Last Updated” date above accordingly.

Using Your Information

We collect and use information for business and commercial purposes, including to:

  • prepare tax returns and perform accounting, bookkeeping, and advisory services;
  • communicate with you about your engagement, documents, deadlines, and appointments;
  • represent you before the IRS or state taxing authorities when you have authorized us to do so;
  • process payments and administer subscriptions;
  • operate, secure, and improve our business and Website;
  • market our services to you, subject to your consent where required;
  • analyze usage and measure marketing performance;
  • prevent fraud and protect the security of your information;
  • comply with our professional standards and legal obligations.

Confidentiality of Tax Return Information

Federal law, including Internal Revenue Code Section 7216, restricts how tax return preparers may use and disclose tax return information. Consistent with that law:

  • We will not use your tax return information for any purpose other than preparing or assisting in preparing your return, or providing services directly related to that preparation, without your prior written consent.
  • We will not disclose your tax return information to any third party without your prior written consent, except as permitted or required by law — for example, in response to a valid court order, subpoena, or lawful request from a taxing authority, or to a professional liability insurer or in connection with a peer review.
  • Your consent to receive marketing communications from us is separate from, and does not authorize, any use or disclosure of your tax return information.

If we ever need your consent for a use or disclosure covered by Section 7216, we will request it separately and in writing, in the form the law requires.

Safeguarding Financial Information

As a tax and accounting practice, we are treated as a financial institution under the Gramm-Leach-Bliley Act. We maintain a written information security program with administrative, technical, and physical safeguards designed to protect the security, confidentiality, and integrity of your nonpublic personal information, consistent with the FTC Safeguards Rule and IRS guidance for tax professionals.

We do not sell your nonpublic personal information, and we do not share it with third parties for their own marketing purposes.

Sharing Your Information

We may share the categories of information described above with third parties that perform services for us or on our behalf. Categories of third parties we may share information with include: tax preparation and accounting software providers; secure document storage and client portal providers; e-file transmitters; payment processing providers; IT and security vendors; data analytics providers; marketing partners and advertising networks (website and marketing data only, never tax return information); and other parties for legal, safety, fraud-prevention, and enforcement reasons.

Where a service provider handles tax return information, we require that they protect it and use it only for the purpose we engaged them for.

We may also share information when you direct us to — for example, when you ask us to send a copy of your return to a lender, financial advisor, or attorney.

SMS Messaging

By opting in to receive text messages (SMS) from Tax Time, you provide your express consent for us (and our service providers) to send you informational and promotional messages, including recurring automated messages, at the phone number you provide. Consent is not a condition of purchase or of engaging our services.

Message and data rates may apply. Message frequency may vary. To opt out of text messages at any time, reply STOP to any message. For help, reply HELP.

We will not include Social Security numbers, account numbers, or other sensitive tax information in text messages. Sensitive documents and information are exchanged through our secure client portal.

No Sharing of Mobile Information

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Data Security

We have implemented measures designed to secure your information from accidental loss and unauthorized access, use, alteration, and disclosure, including encryption of sensitive data in transit and at rest, access controls limiting client information to personnel who need it, and multi-factor authentication on systems that hold client data.

However, no method of transmission over the internet is completely secure. Any transmission of personal information is at your own risk. We ask that you use our secure client portal — rather than email or text — to send documents containing Social Security numbers, account numbers, or other sensitive information.

Data Retention

We retain client records, including copies of prepared returns and supporting documentation, for as long as necessary to provide services to you and to meet our professional, regulatory, and legal obligations, and generally for a minimum of seven years following the end of an engagement. We may retain certain information for longer where required by law or where needed to resolve disputes or enforce our agreements.

Children’s Privacy

Our Website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Website. We may process information about minor dependents when a parent or guardian provides it to us as part of a tax engagement; that information is treated as part of the client’s return information and protected accordingly.

Your Privacy Rights

Depending on where you live, you may have rights under applicable privacy laws, which may include: the right to know/access the information we collect about you; the right to delete certain information; the right to correct certain information; the right to opt out of the sale/sharing of personal information; the right to opt out of targeted advertising; the right to data portability; and the right to not be discriminated against for exercising your rights.

Please note that some information cannot be deleted on request where we are required to retain it under tax law, professional standards, or other legal obligations.

To submit a request, email us at operations@taxtimeaz.com with the subject line “Privacy Request”.
